Data Deletion Instructions

This page explains how to remove a connected social account from Be More Swan and how to have the data we obtained through that account deleted. It covers Facebook, Instagram, Threads, LinkedIn, X and YouTube connections.

1. What we hold from a connected account

When you connect a social account, we store only what is needed to publish and report on your behalf:

  • An access token, held encrypted, which we use to publish approved posts and read back their performance.
  • The account identifiers the platform gives us — for Facebook, the Page ID; for Instagram, the business account ID and username; plus your app-scoped user ID.
  • Aggregate performance figures for posts we published for you, such as impressions and engagement counts.
  • Follower counts, cached for up to four hours at a time. LinkedIn does not make this figure available to apps, so for LinkedIn it is whatever you enter yourself.

We do not store your platform password, your private messages, or the contents of your inbox. We do not use your data to train public AI models.

2. Removing a connection from within Be More Swan

This is the fastest route and takes effect immediately.

  1. Sign in and open the assistant that holds the connection.
  2. Go to the Connections section.
  3. Select the account you want to remove and choose Disconnect.

Disconnecting deletes the stored access token straight away and stops all further publishing and reporting for that account.

3. Removing Be More Swan from Facebook or Instagram

You can also revoke access from Meta's side, without signing in to Be More Swan:

  1. Go to Facebook Settings → Apps and Websites.
  2. Find Be More Swan in the list of active apps.
  3. Choose Remove, and tick the option to delete the activity associated with the app.

Facebook notifies us automatically when you do this. We then revoke the connection and delete the stored access token for both the Facebook and Instagram accounts covered by that permission, without any further action from you. If you asked Facebook for deletion rather than plain removal, it will show you a confirmation code and a link to a page confirming the deletion has completed.

Threads is a separate application with its own entry in your Meta settings, so removing our Facebook access does not remove Threads access. Remove it the same way, from the Threads app's own listing; we are notified and drop the connection in the same manner.

4. Asking us directly

If you cannot sign in, or you would rather we handled it, email hello@bemoreswan.com from the address on your account with the subject Data deletion request. Tell us which platform and which account name or handle you want removed.

We will confirm the request within 5 working days and complete it within 30 days, as required under UK GDPR. If we need to verify your identity first, we will say so in our reply.

5. What happens after deletion

What happens depends on which of the routes above you used, because disconnecting an account and asking for its data to be deleted are not the same request.

If you disconnected inside Be More Swan (section 2), or removed the app on the platform's side without asking for deletion:

  • The encrypted access token is deleted. We can no longer reach the platform on your behalf, and the connection is marked revoked so nothing uses it again.
  • A revoked connection record is kept — including the account identifier the platform gave us and any figures we had already cached — so that your publishing history still makes sense and you can reconnect later. If you want that erased too, use either of the next two routes.

If you made a data deletion request (section 3 on the platform, or section 4 by email):

  • The token is deleted and the connection record itself is removed, along with the account identifiers we obtained from that platform, the follower and per-post figures we had cached, and the event payloads the platform had sent us.
  • For Facebook and Instagram this happens automatically the moment the platform notifies us, and the confirmation page it shows you sets out exactly what was removed.

In both cases:

  • Posts that were already published to your account stay live on the platform. Only you can delete those, from the platform itself.
  • Drafts and content held in your Be More Swan workspace are unaffected, since they are yours rather than the platform's. Delete them in the app, or ask us to remove your whole account.
  • We retain audit records of the deletion itself, and any records we are legally required to keep, such as billing history.

6. Deleting your entire account

To close your Be More Swan account and erase your workspace, email hello@bemoreswan.com from the address on your account with the subject Delete my account. We will confirm the request, and once confirmed there is a 24-hour cooling-off window — we send you an email with a cancel link, in case the request was made in error or by someone else with access to your inbox.

After that window closes, deletion proceeds: this removes your assistants, connections, drafts and published-post records, and it cannot be undone. Deletion is completed within 30 days, as UK GDPR requires. Two things survive it, because they must: an anonymised record that the erasure happened, and any billing history we are legally required to retain.

Cancelling your subscription is not the same as deleting your account. Cancelling stops the billing and stops your assistants, but leaves your workspace intact in case you return. If you want the data gone, ask us to delete the account as well.
